The Judge's Rubric and Score Card

  • Once student Entries are collected and sorted into Art Categories and Age Divisions, check them against the individual Category Rules for; correct dimensions, proper file formats for digital entries and lengths, clarity in contact info., the mandatory artistic statement 10-100 words, music notation or statement for Music Composition (Middle and High School)
  • Use the small window of time before judging to contact guardians, so their student artist can fix any issues. If an entry does not meet the specifications, you can exhibit later (to encourage participation) but, do not send them up to judging or to Council
  • Judging is "Blind" no names, Artistic Statement is weighted heavily and a single Judge is fine, a panel is not needed

Tips for Judging Artworks

  • You may select a panel to help you create an unbiased decision in selecting winners. 
  • Try to select individuals that are not tied to your school, and collectively have experience in the Reflections categories.
  • Based on the volume the judging can be individual or a panel for each category.

Necessary Paperwork Downloads for Council:

  • The Unit Participation Form - Fill out the top section to reflect how many entries you collected. The bottom is how many entries you moved up to Council. The top 3 entries per art category, per age division
  • The Unit Collection Form - An inventory of Entries moved up to Council (only) Make extra copies of both, for your records. Unit Action Steps After Council Collection

Acknowledge and celebrate all your school participants

Look at the previous celebrations, check in with your PTA, and Principal, see how you can exhibit and recognize all participants. Open House is a great event to exhibit and promote for the next year.

Celebrate and announce 4th District Participants

PYLUC will contact families and will invite them to the 4th District Gallery (TBD). These will be the top entries per art category, in each age division

Promote the PYLUC Showcase (TBD)

Invitations will be supplied to Unit Chairs to share with their Council Artists/Families. All Entries submitted to the Council on (TBD) will be on exhibit at the Showcase. Awards will be revealed for 1-3rd Place and Honorable Mentions. Winners will not be revealed before the Showcase. Families will be informed to insure their attendance. 

Unit Art Entries must be picked up after the Showcase on (TBD)

Each Unit is responsible for picking up their Art Portfolio, certificates and leftover awards at 7:30 pm. If the Unit Chair cannot attend, a representative must substitute.
